This update introduces a major change to the Viper workflow for those of you that have been using the external CRM with CRM Sync. In short, we are phasing out the external CRM and all Client information (including Opportunities) will now be managed in the Clients tab in Viper. Effective immediately, the external CRM should only be used for referencing "legacy" data and any changes made in the CRM will not be sent to the Viper side. We appreciate that change is rarely easy, but we believe this change will drastically simplify the previous workflow that required you to manage data in two places. Now, you'll just be working in the Viper side!
Creating and editing client information (formerly Accounts and Contacts in CRM): All new client records (new client Companies and Contacts) should be created in the Clients tab in Viper. And if you need to update any existing records, you can use the Search tools in the Clients tab to locate a record and edit it directly in Viper.
Creating Programs (formerly Opportunities in CRM): You will no longer create Opportunities in the CRM for new pieces of business and wait for them to sync over to the Viper side. You will now just add new Programs directly in Viper, via the "Add New Program" widget in your Dashboard or via the Programs tab within a client company profile.
CRM Data Migration: We are in the process of migrating all supported CRM data over to Viper (like Assigned To, Created Date, and other CRM fields) and we'll be in touch with you when the process is complete. Please feel free to reach out to us (support@vipeventresources.com) with any questions.
Now on to the new features for this release...
Clients Tab
Since this release phases out the external CRM and disables the CRM Sync, we have added additional functionality to the Clients tab in Viper which replaces the functionality that may have only existed in the external CRM previously. For those of you that never used the external CRM, you still might find some of this new functionality useful.
- New fields: Added new fields for Assigned To, Created Date, Updated Date, Reference Code and more.
- Tags: Added support for Client tags. Contact us if you'd like to add any client company tags to your Viper site.
- Custom Fields: Added support for custom fields.
- All Companies Page: Updated existing Companies page to support filtering all client companies.
- All Contacts Page: Added new page for viewing and filtering all client contacts under Clients > Browse > All Contacts.
- All Notes page: Added new page for viewing and filtering all client notes under Clients > Browse > Notes.
Vendors Tab
- All Vendors Page: Added filters and more download options at bottom of the page.
- Admin Only Files: Allow users to designate file uploads as "Admin Only" so only Admin Users can view and delete
- Tags: Added support for Hotel tags. Contact us if you'd like to add any Hotel tags to your Viper site.
Hotels Tab
- Files Upload: Added support for Files upload for Hotel Brands/Corporate Parents.
Content Library
- Bulk Copy (folders only): Added support for Bulk Copy to allow you to copy the folder structure from one part of the Content Library to another.
- Image Galleries: If full width image is placed directly above a gallery, it will be included in full screen slideshow for gallery.
- Global Content Library: You can now copy packages between offices.
- Tags: Added support for Content Library tags. Contact us if you'd like to add any Content Library tags to your Viper site.
- External Image Editing Tools: When adding images, you'll notice a little banner with links to external image editing tools. They don't integrate with Viper, but they are free tools that allow you to quickly edit and resize images before uploading them to Viper.
- Product Pricing Download: Added Product Pricing Download under Content Library > Downloads > Product Pricing.
- Add Pricing Popup: Added more control over inputing cost fields.
- Full Folder Path Tooltip: When viewing an Article, Product, or Package, hover over the containing folder to see the full folder path in tooltip.
Programs
Program Details
- New fields: Added new field for "Expected Close Date."
- Auto-generated Program Codes: Added support for additional variables when auto-generating program codes. Reach out to us if you'd like to explore what's supported in auto-generated program codes.
- Edit Probability: Moved "Edit Probability" button to Program header.
Proposal
- Hide Event Times: For a long time, you've been able to hide the dates for an event fro the client. Now you can choose to only hide the start time and end time for an event, but still show the date to the client.
- Pricing Preview: A Pricing Preview is now displayed at the bottom of every proposal description that has pricing linked to it. Note this is read only and simply displays the information you have entered in the Costing. By default, the Pricing Preview will not show to the client. If you want the client to see the Pricing Preview, you can click the dollar sign icon in the Article Handle (along with the edit, delete, move action icons) to toggle the Pricing Preview on and off. Note that the Pricing Preview is hidden from the client when it appears faded out and it is shown to the client when it is NOT faded out.
Costing
- Round Up Pricing: Added "Round Up All Prices" option to the costing.
- Qty/Unit Max: If a line item's quantity or unit value exceeds the Max set for the product in the Content Library, it will be colored red.
Providers
- Providers Tab View: Consolidated Product Views so you can easily toggle between Products with Providers and Products without Providers.
- Remember Filters: Your filter preferences are now saved when you navigate away from Providers tab and come back later.
Documents
- Email notifications: Email notifications are now sent when document is generated or uploaded.
- Insert Costing Table: Added support for inserting a table with all costing details. This would replace the need to copy and paste a Costing in Excel format into Word.
Client Site
- Prevent invalid email addresses: Added check for invalid client email addresses.
- Save Paper: Added option to show/hide images on the print-friendly proposal page.
- Attachment Folders: Added support for Folders to allow you to organize Client Site attachments.
- Disable Password: If you set the client password field to none, the client will not be required to enter a password to view the proposal. USE WISELY!
- Skip Landing Page: If you leave the Client Message field empty, the Landing Page will be skipped when the client logs in and they'll be taken straight to the Table of Contents page.
